I might wait until BF is back from vacation as he is the writer. I want to make sure that I compose something eloquent and not get caught up in the heat of the moment about the additional expense I've incurred.

I would just contact them on the phone, I wouldn't waste time with writing them. It's a simple question and they should be happy to answer.
